Microsoft — as well as other cloud vendors — is changing the amount of storage available to USC, which means changes are coming to storage options to ensure the university has enough shared space for all students, faculty and staff.
USC is changing its limits after the Fall 2024 semester for Microsoft 365 storage:
- Individual OneDrive and team site storage limits will both decrease from 5 terabytes to 250 gigabytes.
- Users with A1 licenses — users from campuses with their own tenant or affiliate — will have a OneDrive storage limit of 10 GB.
- Inactive accounts of students and employees will be reduced to 1 GB.
The limits will go into effect over the holiday break in December. However, it will take several weeks for the changes to show up on every USC-affiliated account.
No changes are expected for Outlook. All students, faculty and staff will have 100 GB of mailbox storage with A1 licensees having 50 GB.
To check how much storage you have available on OneDrive, login to your Office 365 account and navigate to the OneDrive tab. Scroll to the bottom of the left hand navigation, and the amount of space you have should be displayed in the bottom left corner.
The Division of Information Technology will give users over the 250 GB limit time to talk with their local IT administrators to determine their best options. To help clean up your OneDrive:
- Delete old, unused, duplicate or unneeded files from your OneDrive.
- Relocate large archives of databases, images and media to archive storage.
- Work with your department to purchase additional OneDrive storage.
Once OneDrive exceeds its storage limit, it will switch to read-only mode. This means users can still view and download files, but won’t be able to edit existing files or upload new ones.
The best place for shared, departmental files is in a department team account that can have multiple owners with channels that have unique permissions, files and sharing options.
