Helping USC Share and Collaborate Securely

Cloud storage and collaboration with others, both internal and external to the organization, are the norm for today’s workforce. But considering the constantly changing threat landscape, we now know that email alone cannot protect sensitive information from prying eyes.

When the University of South Carolina shares information, internally or externally, it is important that the confidentiality, integrity, and availability of that data be preserved. That is no small task, especially with so many cloud storage options available. Microsoft has entered into a Business Associates Agreement (BAA) with the University of South Carolina. This agreement helps provide university students, faculty, and staff with a recommended tool for collaboration and secure file sharing, OneDrive.

OneDrive is intended for the storage of personally created files by university students, faculty, and staff. OneDrive is not to be used instead of departmental storage which is provided by your department. Please consult your local IT admin about what is available. OneDrive is not the appropriate storage location for:

  • Large data models or machine generated data
  • Large databases or data warehouses
  • Massive archives of images, recordings, or other large scale data sets
  • Medical records*
  • Any official University records

*While OneDrive is HIPAA compliant, all medical records should be stored in the protected storage with the managing application. The user’s OneDrive folder is not the appropriate storage location for medical records. OneDrive would be appropriate for spreadsheets or documents that mention medical records or medical information in the purview of the OneDrive owner.

University of South Carolina OneDrive is enabled automatically for all current students, faculty, and staff.

Store and share files

  • Store up to 250 GB of data in the cloud with up to 1 TB available for purchase
  • 10 GB maximum file size
  • Authorized to store sensitive data (HIPAA, FERPA). NOTE: All medical records and confidential files should be stored in protected storage in departmental storage with the managing application.
  • Share files with any account, using the email address.  For University of South Carolina users, a University of South Carolina Network Username is required, more below.

Access and synchronize files easily

  • Access files using Web browsers or mobile devices
  • Access files directly from Microsoft Office desktop applications
  • Synchronize your local files (stored on your laptop or computer hard drive) with your cloud-based OneDrive files in University of South Carolina OneDrive files (with appropriate client software installed)

No, OneDrive no longer differentiates between personal and business clients. To use your University of South Carolina OneDrive account, you must select “Work or School Account” when signing in. If you are signed in and do not see “<NAME> - University of South Carolina,” then you are signed in with a personal account and may be storing university documents in the incorrect account. If this happens, please sign out of your OneDrive application and sign back in using your university email address, selecting “Work or School Account” if prompted.

  • Upon separation from the University, all student, faculty, and staff accounts are managed through a deprovisioning process and disabled according to their associated schedule. All associated files are also deleted through an appropriate archiving process.
  • Faculty and staff accounts are disabled 45 days after leaving the University. Student accounts are disabled 2 years after their last enrolled term.
  • Any important files owned by any emeritus faculty (affiliate), faculty, or staff, should be reviewed and moved to appropriate storage during the off-boarding process. Important files might be:
    • Templates, forms, or spreadsheets used by the department
    • Contracts, quotes, bills or other correspondence related to vendor relationships
    • Any data or files used in the business workflow of the department

OneDrive is a recommended solution that has been vetted and security hardened for the protection of university data.  However, the use of OneDrive is not mandatory for university students, faculty, or staff.
