Welcome to the University of South Carolina! We're so happy to have you. The information below will support your exchange activities and university access.

Onboarding

After you have arrived and made housing arrangements in the Columbia area, please complete and sign this affiliate PDF form using mm/dd/yyyy format, leave USCID# and SSN# fields blank & note your highest degree completed (not a degree program in progress). 

Send completed affiliate form to the academic unit administrator so they can initiate the PeopleSoft-HCM affiliate e-Form. HR-OIS will review/approve the affiliate e-Form.

Provide ISSS/J-EVP with evidence that you / any accompanying J-2 dependent have purchased medical/evacuation/repatriation insurance as required by 22 CFR 62.14 covering the entire program date range on Form DS-2019.

You must be physically present in the U.S. in time to meet in person with ISSS-J1 EVP during normal weekday business hours no later than the position start date on the offer letter for SEVIS validation (ISSS) and pre-hire/onboarding procedures (HR).  

Best practice is to arrive in the U.S. at least one week prior to your program start date to avoid delays in access to USC email, payroll, etc.  

HR will facilitate new employee onboarding as described in your offer letter upon your U.S. arrival and after SEVIS validation ISSS.  

You must be physically present in the U.S. and complete Form I-9 Employment Eligibility Verification section 1 with a local residence address (not USC campus address) no later than the offered position start date. 

Next, an email will follow from PeopleAdmin with pre-hire tasks for completion.  USC HR also offers new employee orientation sessions.

The medical insurance plans available to USC employees from SCPEBA via USC Benefits do not meet the requirements of USDOS regulations at 22 CFR 62.14

EVP participants (J-1 and any qualifying J-2 dependents) may choose to enroll in or to decline available Benefits within the first 30 days of USC employment.

Regardless of SCPEBA enrollment, EVP participants (J-1/J-2) must maintain continuous private insurance coverage for medical, evacuation and repatriation coverage throughout EVP participation (even when traveling outside the U.S.) to avoid mandatory program termination per 22 CFR 62.14.  See details on the ISSS site.

USC Payroll requires direct deposit in a U.S. bank account.  Please review payroll FAQs and International Payroll resources and refer all questions to Payroll.

Prior to traveling to the U.S., email a PDF scan (not a photo) of your visa page and full-signed DS-2019 to ISSS-J1EVP.  

If your arrival plans are delayed, both the offer letter (and your DS-2019) must be amended prior to travel (even if you already have a “visa” stamp in your passport).

Upon arrival in the U.S., please locate your I-94 entry record online and email a PDF (not a photo) to ISSS-J1EVP. 

Housing

The faculty supervisor/unit is responsible for advising you on local housing options.  Neither ISSS nor HR-OIS are involved in arranging housing for incoming employees.

SSN

After ISSS validates your SEVIS record, you must apply for a U.S. Social Security Number, which functions as an ID# for tax and other financial purposes.  

SC Driver's License or ID

After you receive a SSN, you will be eligible to apply for a South Carolina driving license or state ID document

  • Please contact drobin@mailbox.sc.edu at least several business days before you plan to visit SCMDV.
  • HR will prepare a hard copy employment verification letter with original ink signature you’ll need to apply.  SCDMV will not accept the USC offer letter or an employment verification letter with a digital/non-original signature.
