Event Notification
All faculty, staff, students, departments, divisions, offices, centers and recognized student organizations sponsoring or hosting an event must notify the Office of Special Events in advance of any event being held and/or prior to the arrival of a guest speaker as specified in the Moore School Event Policy.
This includes virtual, hybrid or in-person events held both on- and off-campus. The Moore School Event Policy applies to all events hosted by faculty, staff and students in the Moore School building space or in leased spaces within the Moore School.

Moore School Food, Catering and Alcohol Policy
All Moore School faculty, staff and students hosting events, functions or activities held within the Moore School building space or in space leased by the USC-Business Partnership Foundation/Corporate Solutions are required to follow the Moore School Food, Catering and Alcohol Policy.
The purpose of the Moore School Food, Catering and Alcohol Policy is to clarify and interpret the application of the university food and catering policies to departments, divisions and centers of the Darla Moore School of Business and recognized student organizations associated with the Moore School, as well as provide additional guidance to departments, divisions, centers, faculty and staff of the Darla Moore School of Business for the responsible use and provision of alcoholic beverages in compliance with the university policy and guidelines.

FAQs
Do I need to register my event even if it is already planned?
Yes, even if your event is scheduled and/or finalized you must submit a form.
Do I have to notify the Office of Special Events of guest speakers attending my class(es)?
Yes, you should notify us if you have an external guest speaker coming to the Moore
School. If the guest speaker is an alumnus of the Moore School or the university,
we would like to note their participation in our database.
Do I have to fill out an event request for meetings?
No, only events require a notification form. An event is a noteworthy happening, ssocial
occasion, activity or external guest speaker. If you have questions regarding what
qualifies as an event, please email events@moore.sc.edu.
Can I take a group of students to meet away from campus without submitting a form? No, if your class is meeting in a non-classroom setting and the Moore School or USC is sponsoring the event, the activity must be approved by the Office of Special Events.
Why do I have to submit a form?
The Special Events/Operations/Exec Ed teams meet weekly to review submissions. We review room reservations on level 1, 2, 3 and 5 and note potential conflicts for space and resources. In addition, we coordinate room setup for each event; coordinate with the caterer; and include custodial services, IT and MarCom if necessary. If the requesting department needs extra help, we ensure ambassadors are available to assist.
What’s required to get a vendor paid for an event or activity?
BPF and Corporate Solutions will request a copy of the approved and noted event form along with payment request. If alcohol was served BPF and Corporate Solutions will also request the Substance Abuse Prevention and Education Event Registration Form.
To ensure the event room is cleaned prior to the event; request additional custodial services if necessary; make sure all events are on the calendars, make sure to:
- mitigate potential conflicts for space and resources
- manage room setup for level 2, 3 and 5 (rearranging rooms for events)
- coordinate with the dean’s calendar
- coordinate with the IT department
- coordinate with the MarCom department
- coordinate with Aramark/Horseshoe Catering
- coordinate with custodial services to ensure rooms are cleaned prior to an event and keep them updated of “extra” activity in the Moore School
- coordinate ambassadors’ schedules
- coordinate with Office of Career Management, Office of Alumni Engagement, academic departments and the overall USC academic calendar to help avoid conflicts
