Assets

Assets are used to create specialized content, such as image galleries and online forms, and when the same information will be used in multiple places of the site. Shared assets can be shared across all sites within the University CMS.

Watch the Introduction to Assets video (05:35) with general information and important concepts about assets.

Certain content, such as image galleries and online forms, can only be created as Assets. Image galleries are created as an Image Gallery asset and then inserted in Image Gallery callouts, Single Image Gallery callouts, or on Grid pages. Online forms are created as a Form asset and then inserted in the main editable region by itself or inside Form callouts in the callout editable region. Image Gallery assets and Form assets cannot be shared across sites. They can only be used within the site where they are created.

Web content assets are used when the same information will be used in multiple places. They can be anything, such as a paragraph or even any of the snippets. If they are used with snippets, make sure to insert them in the correct editable region, Main region for Content snippets and Callout region for Callout snippets.  Web content assets can be shared across all sites in the CMS. Shared assets are approved by Communications and Public Affairs. Unless the asset you are creating is approved, please make sure to select the Lock to site checkbox in asset properties so that it is not visible within other sites and cannot be accidentally modified or deleted by  other site managers.
