In this topic, you will learn how to use the Cross Walk.
Using this tool, you are able to enter old accounting line information and see its PeopleSoft equivalent.
Steps:
Begin by navigating to the USC Department/Fund Inquiry page.
Click the Main Menu button.
Step 1Your PeopleSoft security role determines which Main Menu items are available to you. Your menu may contain fewer options depending on your role.
Click the Scroll Down button.
Step 3Click the USC Conversion menu.
Step 4Click the USC ChartField Mapping menu.
Step 5Click the USC Department/Fund Inquiry menu.
Step 6In PeopleSoft, accounting line information is called a ChartField String, which is a combination of identifying fields (called ChartFields) that replaced Department Fund Object Code combinations. Using USC's updated Chart of Accounts and Organizational Structure, a ChartField String can be used to define, identify, categorize, and sort a transaction.
A ChartField String may include the following ChartFields:
* Account
* Operating Unit
* Fund
* Department
* Class
* Product
* PC Business Unit
* Project ID
* Activity ID
Note: The last three ChartFields are only used for projects.
Use this Cross Walk page to enter old accounting information such as Department and Fund to identify their new ChartField equivalents.
Click the Look up USC Department/Fund button.
Step 10In this example, you want to view the new PeopleSoft ChartField String information for USC Department/Fund "65300E700".
Enter the desired information into the begins with field.
Enter "65300".
Step 12Click the Look Up button.
Step 13Click the 65300E700 link.
Step 14If the Fiscal Year field is left blank, search results will return ChartField Strings from every year available.
In this example, you're only interested in looking at 2015 accounting information.
Enter the desired information into the Fiscal Year field.
Enter "2015".
Step 16Click the Search button.
Step 17Above is the ChartField String information for the "65300E700" USC Department/Fund combination for Fiscal Year 2015.
In this ChartField String, the old USC Department and USC Fund information is displayed on the far left.
The PeopleSoft equivalent Department and Fund Code information is on the right.
In this example, the Department is now "652000" and the Fund Code is "E6131".
Meanwhile, the Operating Unit ChartField has replaced Responsibility as the highest-level indicator identifying which college, campus, or organization is spending the funds.
The Class Field ChartField has replaced Program and SubProgram as a way to further identify, categorize, and sort how funds are being spent.
It's important to note that while you've searched using USC Department/Fund and Fiscal Year in this example, you can perform a search using any of the fields at the top of the page to further refine your results.
For example, if you were interested in seeing a complete listing of all Department and Fund Codes that belonged to a specific Operating Unit, you would enter that Operating Unit above and click Search.
