COVID-19 Supplies

In the wake of the novel coronavirus pandemic, many items related to personal care have been in high demand across the entire university. In an effort to assist our staff in planning for upcoming Personal Protection Equipment (PPE) needs, the Purchasing Department has been working to establish multiple supply sources for these items for everyone's health and safety upon return to campus operations.

In preparation for the full-time return to campus,  the Purchasing Department wants to remind you that boxes of personal protective equipment have been delivered campus-wide and placed in a secure location for each department. Should a member of the faculty or staff need to contact our department regarding this shipment, please use our COVID email address or call 803-777-2156.   If you have additional needs, you may order them via our COVID-19 Supplies Internal Order Form.

President Caslen awarded several members of the Division of Administration and Finance his Presidential Coins of Excellence as acknowledgement of their efforts in response to the coronavirus pandemic and its effects on our campus.  


Updated PPE Supplies Form

June 8, 2020

A new web-based form has been added to the Purchasing Department website's COVID-19 Supplies section to facilitate ordering additional PPE supplies. This form sends an email directly from the website to Purchasing's COVID-19 Supplies inbox with the included responses. A confirmation message appears when the form is successfully submitted. Please discontinue the use of the downloadable PDF documents that were being utilized previously.

Design Services has done an outstanding job of researching, specifying, pricing, and collating an immense amount of information, and then distilling all of it into these three documents. This work effort will benefit the entire University community by providing a line of wellness screens, standardized for quick selection and for efficient placement of orders.

Plan for dispersing supplies for return to work during COVID-19

Since the University’s closing, the Purchasing and Facilities Services teams have been working diligently to ensure the safety of our campuses in preparation for our return. We have been analyzing campus needs and navigating a volatile market to ensure that each person has what is needed to promote a healthy environment with regard to the current pandemic.

As we draw closer to the return of faculty and staff, our plans to meet these needs are as follows.

System Campuses:

System campuses are being asked to consolidate the orders for the campus and make arrangements for pickup from consolidated services and distribution on their respective campuses.

Departments:

Prior to your official return date, your department will have a box of personal protection supplies initially placed in a secure area in anticipation of the return of faculty and staff. We will all be working hard to make sure this happens before the official return date(s). For those departments that have not yet returned, we will work with Facilities Maintenance to make sure we have the proper access to the department. We will try to determine the best location in which to leave these items for each area and the best contact to send notification of such.

Boxes will be delivered by UofSC Postal Services, Consolidated Services, or Facilities Services. An e-mail notice will be sent to the appropriate person to document delivery. We will attempt to place enough of each item as recommended by our health and safety experts.

Our plans are for each package to include the following items:

  1. Hand sanitizer
  2. Wipes
  3. Disinfectant spray
  4. Nitrile gloves
  5. Disposable masks

Boxes will also contain: (1) procedures for reordering supplies and (2) costs charged for the items. There will be an online form for subsequent orders uploaded to Purchasing’s webpage. There is a dedicated email inbox for these special orders, and we will be monitoring it throughout each workday. Consolidated Services staff will make every attempt to resolve your needs quickly. Subsequent orders for items will be packaged and delivered by Consolidated Services, UofSC Postal Service, or Facilities Services.

Employees:

The Purchasing Department has ordered face coverings for faculty and staff. These items are washable and reusable. Once these face coverings are received, we will post instructions for proper use of the masks on the Purchasing website under the COVID-19 Supplies menu as well as other information. 


Update on purchasing PPE supplies for COVID-19

Since the inception of the novel coronavirus pandemic, the University has been establishing sources of supply for many of the items which we anticipate needing to ensure the safety of occupants on campus upon our return. The University’s Consolidated Services will have a controlled stock of Personal Protection Equipment (PPE) for institutional use during the threat of COVID-19. Institutional use includes all system campuses, administrative and service units, academic units, and research facilities.

The bulk of supplies on hand are expected to be received in June and July, therefore we ask that you focus on the best use of available resources for the general areas and high-touch zones. The supplies are intended for use by faculty, staff, and students to ensure their health and safety and the safety of those with whom they come in contact while on their respective campuses and performing their duties. It is anticipated that most employees and students will have their own masks and will continue to practice safe habits as promoted to the public.

In addition to regularly scheduled custodial care, the University plans to have on hand a standard set of safety and disinfectant supplies to ensure that the workplace is kept clean and virus free. Many of these items are common items designed to assist in keeping us all safe and have been purchased in bulk to realize savings and will be provided at cost upon request. These common items are:

  1. Hand sanitizers for common areas
  2. Disinfecting wipes for workstations, door handles, etc.
  3. Disinfectant spray
  4. Disposable masks
  5. Cloth washable and reusable masks

Other items will be stocked for specialized institutional use as required. For research purposes, we plan to stock items such as surgical masks, gloves, safety glasses, and disposable gowns.
