Faculty/Staff Email Migration to Microsoft Cloud

Migration Schedule

SHORTCUT TO SCHEDULE: 2/13/19 Click here to find out when email accounts in your department will be moved to the cloud. Most departments will be moved from January 7, 2019 to April 22, 2019.

Pre-Migration of Dual Account User Data
  • Copy older email from local Exchange servers to the Microsoft cloud (No impact to user)
  • After August 15, users should not make changes to email or folders in their @mailbox account that are dated August 8 or older.

Moving Dual Account Users to the Cloud
  • Dual account holders will have mailboxes moved completely to the cloud.
  • Work will be performed in groups, based on username (dates subject to change)
    • Group 1: Usernames A-G: September 18th - Complete
    • Group 2: Usernames H-R: September 25th - Complete
    • Group 3: Usernames S-Z: October 2nd - Complete
    • Group 4: October 23rd - Complete
  • Users will access the Microsoft Office 365 portal ( to login to accounts.
  • The account will become the primary email for a period of time. The @mailbox account will be temporarily unavailable.
  • Email on mobile devices will need to connect to the Microsoft Office 365 portal (@email accounts).
  • All email sent to @mailbox will show in @email.

  • Aliases/nicknames will move with migration.
  • Dual account holders will not be able to free/busy search the calendars of employees who are not dual account holders because the other employee account will not be in the cloud yet. You can still send an appointment, but you won't be able to see if the person is busy before you send the proposed date and time.
  • Dual account holders will not show up in the email directory for a brief period of time. Employees will not be able to search for an employee by name and find their email address until all employees have been moved to the cloud.
    • If a user does not show in the global address book, a users email and phone number can still be found in the directory at
  • All calendar appointments will merge from @mailbox into the @email calendar.
  • No new student email accounts will be created from October 12-16 (dates subject to change).
  • The contacts in dual account holder's Outlook will not be lost.

Hybrid Environment
  • Dual account holders will be able to begin using their again (Use primary email page of website).
  • Establishes a connection between local Exchange servers and the Microsoft cloud
  • Dual account users will regain access to free/busy search and will show up in the email search.
