Service Agreements

Mass Email

University Technology Services offers a Mass Email Service Agreement to departments and colleges that will help disseminate important information on a regular and reliable schedule. UTS offers two service options that can be tailored to specific communication needs.

Services: 

UTS teams will work with colleges and departments reach target audiences on both an emergency and as-needed basis for email campaigns. Under a Mass Email Service Agreement (SA), the following information is required by the department making the request:

  1. Final draft of proposed email message (UTS recommends a text-only message; Heavy uses of graphics will not be delivered properly)
  2. A list of e-mail addresses of target recipients (Excel file) or a known University group (Faculty, Staff, Students)
  3. Complete text for the Subject line of outgoing mail
  4. E-mail address for the Reply to address
  5. Approval from the authorized data steward of the target recipient addressing for the distribution of proposed email (In accordance with the University's Data Access Policy, www.sc.edu/policies/acaf702.html )
  6. Requested distribution date
  7. USC department account and fund number

Email Campaign Packages:

UTS provides the hardware, software and delivery services needed for mass email campaigns at the University of South Carolina. All requests will need proper funding, data steward approval and at least a 5-day request window. The following service matrix defines the Mass Email SA:

Service Metric:

The UTS performance objective is 99% uptime excluding scheduled maintenance times. UTS strives to make servers available 24-hours per day, seven days per week, 365 days per year. However, mass email access is dependent upon network infrastructure, DNS services and data center power and cooling, all of which can impact uptime. Scheduled maintenance and downtime will be communicated through the IT Connection, http://itc.sc.edu .

Billing:

Billing is done on a monthly basis or per e-mail basis, depending on the package selected.

Costs
Unlimited Email Campaigns: $60/per month
Per Email Campaign: $350/per email request
Cost is based on current university fiscal year rates. Costs are subject to change based on ongoing financial evaluations. Prior notification of rate changes will be provided 30-days in advance to all affected customers. Click here for an entire list of UTS Rates.

Restricted Data:

Data categorized as Restricted Data may not be released in any University Email unless approved by the data steward and a security assessment is performed.

Restricted Data items are defined as data that the University of South Carolina is required by law to protect, or where the compromise of the data could lead to significant negative/undesired consequences. Access will be limited to authorized employees who are mandated to protect it. Employees who have access to this data cannot disclose or use the data without explicit approval of the data steward for the designated purpose.

Restricted Data includes, but is not limited to student, medical, or Human Resources records; Social Security numbers, personnel records, or identifiable personal Information; financial transactions, donor records, credit card data, or information on prospective students. UTS performs periodic scans for restricted data to ensure compliance.
